Submitting, Reviewing, and Revising a Milestone

EDS Progress Report
  • Submit the EDS Progress Report at least once per term.
  • Use the report to indicate readiness for milestone peer review.
CGScholar Notifications and Dialogue Messages
CGScholar Notifications:
  • Keep notifications enabled to avoid delays and missed messages.
CGScholar Dialogue and Version Control:
  • When notifying for review in CGScholar Dialogue, include the last saved version number (not the “current” version) and date, ensuring the Word document reflects this date.
Work Creation, Duplication, Version Control, and Submissions
Document Drafting Choices:
  • Draft work in CGScholar or Word, ensuring accuracy and completeness in both.
  • Align content between CGScholar and Word, accommodating minor exceptions (e.g., replace media in Word with URLs).
Work Replication and Drafting:
  • Maintain consistency between CGScholar and Word drafts, with allowable differences for media.
  • Preview work in a browser, if desired, and integrate into the Word document as an attachment.
Milestone Drafting and Submission:
  • Draft subsequent milestones within existing work to avoid duplication.
  • Notify the instructor before duplicating work in CGScholar for peer review to minimize rework.
Scholar Work Submission Guidelines:
  • Do not submit the same Scholar Work for multiple projects; follow duplication instructions at the appropriate time to prevent errors.
CGScholar Dialogue and Version Control:
  • When notifying for review in CGScholar Dialogue, include the last saved version number (not the “current” version) and date, ensuring the Word document reflects this date.
Submission and Revision Deadlines:
  • Adhere to suggested CGScholar work submission and revision deadlines, noting that overdue notices may be issued.
Review Stages and their Purpose

Your work will go through multiple review and revision cycles. Most feedback will be provided directly in Scholar. Detailed Faculty Advisor review will come in the form of tracked changes and comments in your Word document.

Note that even if routed for peer review or advanced to the next stage, there may be feedback that authors need to consider in their next submission.

While you Wait for Feedback

While the current milestone is undergoing review and subsequent review processes, the author begins the next milestone and continues working in the current work to populate their next milestone (ie. Special Field is added to the General Field project).

Each review cycle takes time. The length depends on the timing of your submission and volume of other submissions. Please continue to work on your next milestone while you wait. Plan ahead.

Review Stage and PurposeFeedback Format
Pre-Peer Review
The dissertation advisor will conduct a preliminary, high level review prior to peer review.

* Focus on basic requirements, such as word count, literature review genre patterns, overall writing quality
* To ensure that peer reviewers can focus their time on more important review elements.
Feedback will be submitted directly in Scholar as annotations and/or comments in the dialogue

Outcome 1: If the submission does not meet minimum requirements or has a large volume of issues, it will be sent back prior to being routed for peer review. CGScholar will trigger a notification asking you to submit revisions.

Outcome 2: If it is eligible for peer review, peer reviewers will receive a notification from CGScholar with a deadline of about 6 days, but we understand if reviewers need 2 weeks.
Peer Review
2-3 peers will provide feedback on the literature review genre, including diversity of sources, voice of the literature, and elaboration on the context of the study. Additionally, they will look at overall clarity of purpose and execution of that purpose. While formal copy editing is not expected, identifying the first 5-10 errors are useful and then pointing out any patterns that might exist.

Peers are not expected to fully copy edit someone’s work.
Peers will annotate, rate, and comment on your milestone.

Authors and peers are encouraged to connect with one another outside of the written peer review process

Submit Feedback on Feedback – be specific so that your reviewer can know what worked well and what did not.
Post-Peer Review
The dissertation advisor will conduct another semi-high level review prior to faculty advisor review.

* Focus on literature review genre in more detail and overall writing quality
Feedback will be submitted directly in Scholar as annotations and/or comments in the dialogue
Faculty Advisor Review
The Dissertation Supervisor (Faculty Advisor) will conduct a thorough review of the submission. Consider this your first examiner.
*This stage will determine if your work is ready to advance to examination
Word document with tracked changes and comments sent via email.
Committee Review
*Determine if you have passed your qualifying, preliminary, or final exam
General and Special Field Qualifying Exams are handled through the exam system; you’ll receive an email with comments once all examiners have completed their review.

Preliminary and Final Exams: You will receive oral feedback as a part of your oral presentation.

Post-Final Defense Review Cycles

Each review cycle could take up to a week depending on the timing of your submission and volume of other submissions.

  1. Submit your final (final) dissertation to your faculty advisor for deposit approval; revise accordingly.
  2. Submit your final dissertation to the department contact as a PDF for deposit approval; revise accordingly.
  3. Submit your final dissertation to the Graduate College as a PDF for deposit approval; revise accordingly.
  4. Send a PDF copy of your final deposited dissertation and your final defense presentation slides to the Dissertation Advisor to be added to our LDL Alumni Dissertation page.

IMPORTANT

You should plan to submit your COMPLETED DRAFT by the start of the semester prior to the semester that you want to graduate (May graduation means September draft submission) and have your FINAL DISSERTATION approved by the middle of Term 1 of the desired graduation semester. Term 2 should focus on the final defense and final deposit. Plan ahead!
